The County of Lambton is an urban-rural area in southwestern Ontario that is home to over 126,000 residents. The Corporation's seven divisions operate programs and services for the residents of Lambton County such as land ambulance, provincial offences court, three Long-Term Care Homes, 26 library branches, two museums, an art gallery, archives, local roadways, public health services, housing services, social services, building services and planning and development services. To provide a wide range of administrative tasks to support services to the Nursing Department including; filling cancelled shifts, word processing (letters, forms, data collection), answering phones, mail sorting ad delivery, ordering and maintain inventory of supplies and equipment, maintaining resident charts.
Schedules:• Complete call-ins to fill cancelled shifts for all departments• Provide information to the centralized scheduler required regarding staffing line changes, employee LOAs, staff on modified duties• Print the daily roster• Provide orientation and ongoing assistance to staff regarding scheduling software • Approval of time off requests at direction of supervisorPayroll:• Verifying time card accuracy and revising as required in scheduling software• Pull reports from scheduling software as requiredClerical:• Ensure that resident charts are regularly purged and items files appropriately• Gather all relevant files for deceased residents and file accordingly fax, copy, phone, type, sort and distribute mail• Update nursing and resident forms• Keep daily and monthly statistics for all uses of materials and discards• Prepare and dismantle resident’s charts requisitions for nursing supplies and order supplies• Prepare agendas and take minutes for meetings of the nursing department• Assist nursing staff and/or book appointments for residentsGeneral:• Incumbents must keep up-to-date on all relevant legislation, collective bargaining agreements, County Policies and Procedures, etc. ensuring that these are implemented as prescribed.• Incumbents must possess the physical ability to meet the duties and responsibilities of the job description and/or the requirements identified within the position's Physical Demands Analysis.These describe the general nature and level of work being performed by incumbents in this classification. Minimum Formal Education:• Completion of related certificate or diploma (Office Administration/Medical Office Administration/Health record Technician • Advanced computer skills in Microsoft Office programs (Word, Excel, PowerPoint and Outlook)Experience:• Experience working in a long-term care home and /or experience in hospital nursing unit an asset.• Word processing, spreadsheet and database experience considered an asset• Organizational, interpersonal, problem solving and multi-tasking skills are essential
